Many companies and organizations spend a lot of money on creating company paper with a unique design, without even realizing that you can make a company letterhead yourself. It will not take much time, and to create it you will only need one program, which is already used in every office. Of course, we are talking about Microsoft Office Word.

Using Microsoft's extensive range of word processing tools, you can quickly create a unique design and then use it as the basis for any stationery product. Below we will talk about two ways in which you can make a letterhead in Word.

There is nothing stopping you from immediately starting to work in the program, but it will be much better if you sketch out an approximate view of the header of the form on a piece of paper, armed with a pen or pencil. This will allow you to see how the elements included in the form will be combined with each other. When creating a sketch, you need to consider the following nuances:

  • Leave enough space for your logo, company name, address and other contact information;
  • Consider adding your company letterhead and slogan. This idea is especially good if the main activity or service provided by the company is not indicated on the letterhead itself.

Creating a form manually

MS Word has everything you need to create a letterhead in general and to recreate the sketch you created on paper in particular.

1. Launch Word and select in the section "Create" standard "New document".

Note: Already at this stage, you can save the still empty document to a convenient location on your hard drive. To do this, select "Save as" and give the file name, for example, "Lumpics website template". Even if you do not always have time to save the document in a timely manner as you work, thanks to the function "Auto-save" this will happen automatically after a specified period of time.

2. Insert a header and footer into the document. To do this, in the tab "Insert" click the button "Running title", select item "Page header", and then choose a template footer that suits you.

3. Now you need to transfer everything that you sketched on paper into the body of the footer. To begin, specify the following parameters there:

  • The name of your company or organization;
  • Website address (if there is one and it is not indicated in the company name/logo);
  • Contact phone and fax number;
  • E-mail address.

It is important that each parameter (item) of data begins on a new line. So, having specified the company name, click "ENTER", do the same after the phone number, fax number, etc. This will allow you to place all the elements in a beautiful and even column, the formatting of which will still have to be adjusted.

For each item in this block, select the appropriate font, size and color.

Note: The colors should be in harmony and fit well together. The font size of the company name should be at least two units larger than the font for contact information. The latter, by the way, can be highlighted in a different color. It is equally important that all these elements are in harmony in color with the logo that we are yet to add.

4. Add a company logo image to the footer area. To do this, without leaving the footer area, in the tab "Insert" click the button "Drawing" and open the appropriate file.

5. Set the appropriate size and position for the logo. It should be “noticeable”, but not large, and, just as important, it should go well with the text indicated in the header of the form.

    Advice: To make it more convenient to move the logo and change its size near the border of the footer, set its position "Before the text" by clicking on the button "Markup Options", located to the right of the area in which the object is located.

To move a logo, click on it to select it, and then drag it to the desired location in the footer.

Note: In our example, the text block is on the left, the logo is on the right side of the footer. You can, if you wish, place these elements differently. And yet, you should not scatter them around.

To change the size of the logo, hover the cursor over one of the corners of its frame. Once it transforms into a marker, drag in the desired direction to resize it.

Note: When changing the size of the logo, try not to move its vertical and horizontal edges - instead of making it smaller or larger as you need, this will make it asymmetrical.

Try to choose a logo size that matches the total volume of all text elements that are also located in the header.

6. You can add other visual elements to your letterhead as needed. For example, in order to separate the contents of the header from the rest of the page, you can draw a solid line along the bottom edge of the footer from the left to the right edge of the sheet.

Note: Remember that the line, both in color and in size (width) and appearance, must be combined with the text in the header and the company logo.

7. In the footer you can (or even need) to place some useful information about the company or organization that owns this form. Not only will this visually balance the header and footer of the form, but it will also provide additional information about you to someone who is meeting the company for the first time.

    Advice: In the footer you can indicate the company's motto, if there is one, of course, telephone number, field of activity, etc.

Note: The company motto is best written in italics. In some cases, it is better to write this part in capital letters or simply highlight the first letters of important words.

8. If necessary, you can add a signature line to the form, or even the signature itself. If your letterhead footer contains text, the signature line should appear above it.

    Advice: To exit the mode of working with headers and footers, press the key "ESC" or double-click on a blank area of ​​the page.

9. Save the letterhead you created after previewing it.

10. Print the form on a printer to see how it will look in real life. Perhaps you already have a place to use it.

Creating a form based on a template

We have already talked about the fact that Microsoft Word has a very large set of built-in templates. Among them you can find those that will serve as a good basis for a letterhead. In addition, you can create a template for permanent use in this program yourself.

1. Open MS Word and in the section "Create" in the search bar enter "Forms".

2. Select the appropriate category from the list on the left, for example, "Business".

3. Select the appropriate form, click on it and click "Create".

Note: Some of the templates presented in Word are integrated directly into the program, but some of them, although displayed, are downloaded from the official website. In addition, directly on the site you can find a huge selection of templates that are not presented in the MS Word editor window.

4. The form you selected will open in a new window. Now you can change it and adjust all the elements to suit you, similar to how it was written in the previous section of the article.

Enter the name of the company, indicate the website address, contact information, and do not forget to place the logo on the form. Also, it would not be amiss to indicate the company’s motto.

Save the letterhead on your hard drive. If necessary, print it out. In addition, you can always access the electronic version of the form, filling it out according to the requirements.

Now you know that to create a letterhead you don’t have to go to a printing house and spend a lot of money. It is quite possible to create a beautiful and recognizable corporate letterhead yourself, especially if you make full use of the capabilities of Microsoft Word.

Almost all company documents are printed on letterhead, and this gives them a unique corporate identity. At the top of the sheet, above the first line, there is a separate area - the header. The company logo or name is usually placed here on the letterhead. The footer, which is located after the bottom line of text, most often contains contact information - telephone number, address and company website. Sometimes when creating letterheads, background images are also used.
To create a letterhead in Microsoft Office Word 2007, you must complete the following steps.

1. Go to the "Insert" tab, in the "Header and Footer" group, and click the "Header" button. Ready-made header and footer design options will appear on the screen. You can choose a header and footer to match the style of the cover page - in Microsoft Office 2007, all designs intersect with each other. Click on any design and you'll see the body text of your document turn light and an area appear above the first line where you can type something.

2. After you select a design, a new tab will appear on the ribbon - “Designer”. Use the tools on this tab to customize your headers and footers. For example, in the “Position” group you can set the distance from the margins to the headers and footers.

3. To insert a logo into the footer, click the “Picture” button in the “Insert” group. A dialog box for opening files will appear on the screen. Specify where the logo image is stored on your computer and click the "Insert" button. The logo will be inserted into the footer.

4. In addition to the logo, you can insert the date and time of document creation into the header. To do this, in the “Insert” group, click the appropriate button, for example “Date and Time”. A dialog box will appear on the screen in which you can select the date format.

Usually the date is inserted into contracts so that it changes automatically.

5. Once you've edited the header, click the Go to Footer button. You will automatically be taken to the bottom of the page to design your footer. Here, enter the company's contact information: phone, website, email address.

6. After you enter the necessary information into the header and footer, click on the “Close Header and Footer Window” button on the additional “Design” tab, and all text will again become editable. Headers and footers will appear on every page of the document as automatically built-in blocks. The letterhead is ready!

In addition to headers and footers, underlays are often used to create letterheads - these are pictures that are inserted into a document as the background of pages. Perhaps this will be a logo (of course, if you inserted a logo into the header, there is no need to duplicate this image by setting it as the background). To set a background, go to the Page Layout tab and click the Watermark button in the Page Background group. Select "Custom Underlay" from the menu. In the dialog box that appears, set the switch to the “Picture” position. After that, click the “Select” button, in the window that opens, specify the storage location of the desired picture on your computer and click the “Insert” button.

Requirements for company letterhead

Recommendations for the preparation of forms are prescribed in GOST R 6.30-2003. It says that the form must be made in one of two formats: A4 (210 mm x 297 mm) or A5 (148 mm x 210 mm). For printing, you should use white paper (or light colors).

When drawing up the form, you need to maintain the following margins (mm):

  • left – 20;
  • right – 10;
  • top – 20;
  • bottom – 20.

Thus, the general form of an enterprise may include its emblem or trademark, name, date and place of drawing up the document. In this case, the emblem can be placed above the name so that it falls in its middle, or placed in the opposite column. The “Place of Compilation” attribute and the limiting corners for indicating the date can be positioned either in a centered or flag way.

The letter form may contain an emblem or trademark and the name of the enterprise, its OKPO code, OGRN and TIN numbers, and reference data.

The location of the details can be angular or longitudinal. As an example, you can consider a sample letter on the organization’s corner letterhead.

In practice, sometimes the question arises: is a seal needed on the organization’s letterhead? It is impossible to answer this question unequivocally. The fact is that a stamp is not required to issue the same letter. However, if the letter certifies the rights of certain persons or it contains information related to the finances of the company, then the signature of the official on whose behalf it is drawn up must be certified with a seal.

There are other unspoken requirements for layout design. They no longer relate to the location of the details, but to the design. The form should be designed in strict accordance with the corporate style of the company, with the existing brand book. At the same time, you need to remember that this is, first of all, an element of business documentation, which means that the use of all kinds of decorative techniques is inappropriate here.

When making your own letterhead, you should adhere to the following recommendations:

  • You should not use more than two fonts at the same time;
  • It is not advisable to highlight words by changing the font (underlining, italics, etc.);
  • the font should be easy to read, there is no need to change its standard parameters (for example, width);
  • It is advisable to make the line spacing approximately 1.5 times the height of lowercase letters;
  • background images should be avoided;
  • all permanent information should be placed in the footers;
  • Forms should not be printed on glossy or coated paper.

How to print ready-made forms

Forms are produced using offset or digital printing. Digital printing is more expensive (average price 3 rubles per piece), but is completed in a short time (takes several hours). Offset printing is justified for large volumes - it is cheaper (from 0.6 rubles per copy), but the manufacturing process can take several days.
